KC Swim School – Terms & Conditions
Effective from: September 2026
By booking lessons with KC Swim School, you confirm that you have read, understood and agreed to the following Terms & Conditions.
1. Booking Your Lesson
All lesson bookings are subject to availability and are confirmed once payment has been received or an agreed payment arrangement has been made.
Your lesson day and time are reserved specifically for you/your child. Once confirmed, this space is held for the duration of your booking.
Because swimming lesson spaces are limited, we cannot guarantee that a space will become available again if you leave and later decide to return.
2. Weekly Lessons & Ongoing Bookings
KC Swim School operates on an ongoing weekly booking basis.
Your child’s place will remain reserved each week unless you give the required notice to cancel.
We do not operate on a drop-in basis, and payment is required for your reserved lesson space whether or not you attend, subject to the cancellation and missed-lesson terms below.
3. Cancelling Your Regular Lesson
If you wish to permanently leave KC Swim School, a minimum of 4 weeks’ notice must be given in writing.
Your notice period begins on the date KC Swim School receives your cancellation request.
Lessons falling within your 4-week notice period remain payable and your child’s place will remain reserved for those lessons.
This notice period allows KC Swim School reasonable time to advertise the space and offer it to another swimmer.
Once the 4-week notice period has ended, your booking will be cancelled and no further weekly payments will be due.
Please do not simply stop attending or cancel a payment without giving notice.
4. Holidays & Planned Absences
If your child is going on holiday or will miss lessons for any other planned reason, please let us know as early as possible.
A planned absence does not automatically cancel your child’s place.
If you wish to permanently leave the swimming lessons, the 4-week cancellation notice above still applies.
Individual missed lessons due to holidays are not normally refundable, transferable or carried forward, as the lesson space remains reserved specifically for you.
5. Missed Lessons
If your child cannot attend a lesson, please let us know as soon as possible.
Unfortunately, we cannot guarantee a replacement lesson for missed sessions.
Where possible, KC Swim School may offer a catch-up lesson if a suitable space becomes available, but this is not guaranteed and is subject to availability.
Catch-up lessons cannot be exchanged for cash or deducted from future fees unless specifically agreed by KC Swim School.
6. Illness
Please do not bring your child to swimming if they are unwell or have a condition that would make swimming inappropriate.
Where a child is unable to attend because of illness, please notify us as soon as possible.
A missed lesson due to illness does not automatically cancel the reserved place or remove the requirement for payment.
7. Payment
All lesson fees must be paid by the agreed payment date.
A child’s place may be suspended or cancelled if payments remain outstanding.
KC Swim School reserves the right to request payment of outstanding fees before allowing a swimmer to return to lessons.
8. Late Payments
If payment is late, KC Swim School will contact you to arrange payment.
If fees remain unpaid, the lesson place may be released to another swimmer.
Any outstanding balance remains payable for lessons that were reserved during the applicable notice period.
9. KC Swim School Cancelling a Lesson
Occasionally, KC Swim School may need to cancel or rearrange a lesson due to circumstances outside our reasonable control, including pool closures, staff illness, emergencies, severe weather or other unforeseen circumstances.
Where KC Swim School cancels a lesson, we will make reasonable efforts to provide a replacement lesson or appropriate alternative where possible.
Where a replacement or alternative cannot reasonably be provided, any refund or credit will be dealt with fairly and in accordance with applicable consumer rights.
10. Pool Closures
KC Swim School uses external swimming pools and is therefore sometimes affected by pool closures, maintenance, events or other decisions made by the pool operator.
We will communicate any known closures as soon as reasonably possible.
Where a pool closure prevents a scheduled lesson from taking place, KC Swim School will make reasonable efforts to provide an alternative arrangement where possible.
11. Punctuality
Please arrive in good time for your lesson.
Swimmers arriving late may receive a shortened lesson where the lesson cannot safely be extended without affecting the next customer.
The lesson will still finish at the scheduled time.
12. Parents & Guardians
Parents/guardians are responsible for ensuring that children are supervised appropriately before and after their lesson.
Children should not be left unattended at the swimming pool unless KC Swim School and the pool’s own rules specifically allow this.
Parents/guardians must follow all pool rules and instructions given by KC Swim School staff.
13. Medical & Additional Needs Information
Parents/guardians must provide KC Swim School with accurate and relevant information about the swimmer, including any medical conditions, disabilities, additional needs, injuries, medication or other information that may affect their ability to participate safely.
Please inform us of any changes to this information.
This information is used to help KC Swim School plan and deliver lessons safely and appropriately.
14. Behaviour & Safety
KC Swim School is committed to providing a safe, respectful and enjoyable environment.
Swimmers and accompanying adults are expected to treat KC Swim School staff, other swimmers and pool staff with respect.
KC Swim School reserves the right to review a booking where behaviour creates a safety concern or significantly disrupts lessons.
Where a booking needs to be ended for serious safety or behavioural reasons, KC Swim School will act reasonably and fairly and provide appropriate notice where possible.
15. Changing Lesson Times
Requests to change a regular lesson day or time are subject to availability.
A change of day/time is not guaranteed.
If we are unable to accommodate a requested change, your existing booking will remain in place unless you choose to cancel it in accordance with the 4-week cancellation notice period.
16. Transfers Between Swimmers
A lesson space cannot be transferred to another child or family without prior agreement from KC Swim School.
This includes giving your space to a friend or family member.
17. Communication
The main method of communication for KC Swim School bookings, cancellations and important lesson information will be the contact details provided at the time of booking.
It is the customer’s responsibility to ensure their contact information remains up to date.
18. Changes to Prices
KC Swim School may review its lesson prices from time to time.
Where a price change affects an existing booking, customers will be given reasonable notice before the new price takes effect.
19. Photography & Social Media
KC Swim School may occasionally take photographs or videos for promotional purposes.
No swimmer will be used in promotional material without the appropriate consent being provided.
You can withdraw your consent at any time for future use by contacting KC Swim School.
20. Consumer Rights
Nothing in these Terms & Conditions removes or limits any legal rights you have as a consumer.
KC Swim School will provide its services with reasonable care and skill and will deal with cancellations, refunds and complaints fairly and in accordance with applicable consumer law.
21. Acceptance of These Terms
By completing a booking with KC Swim School, you confirm that you have had the opportunity to read these Terms & Conditions and agree to be bound by them.
These Terms & Conditions should be read alongside any specific information provided at the time of booking.
IMPORTANT – CANCELLATION NOTICE
To leave KC Swim School, you must provide a minimum of 4 weeks’ written notice.
Your child’s place remains reserved and payable during the notice period.
Simply stopping attendance or cancelling a payment does not constitute cancellation.
This policy allows us time to offer your child’s place to another swimmer and helps us keep our lesson timetable running fairly for all families.
